SETWELL Privacy Policy
Version SETWELL-PRIVACY-2026-10-v1.4 Owner-approved copy - publish only after the described production practices have been verified.
Effective date: Not yet published; to be set on publication
This policy explains how Ademis Technologies LLC, doing business as Setwell Appliances ("SETWELL," "we," or "us"), handles personal information for its rental website and appliance rental services. Contact us at contact@setwellappliances.com, subject "Privacy request." This policy is not a consent to marketing, biometric processing, or automatic payments; those choices are presented separately where needed.
1. Information we collect
| Category | Examples and purpose | | --- | --- | | Contact and rental request | Name, email, phone, selected plan, move-in date, and communications to respond to requests and administer rentals. | | Service address and access | Address/unit, address-derived coordinates, stairs/elevator/hookup information, and relevant photographs to determine coverage and deliver/service equipment. | | Verification | Identity-provider reference, status, relevant failure/review information, and limited verified attributes needed to confirm identity or age. Proof of occupancy may be requested when needed. | | Agreement and service records | Accepted document version, signature/audit evidence, Asset IDs, delivery records, service history, cancellation, and pickup information. | | Payment records | Provider customer/payment/subscription IDs, payment status, invoices, tax, and limited payment-method details such as brand and last four digits. | | Website/security information | IP address, device/browser information, session identifiers, access logs, error reports, and limited interaction events to operate and protect the site. |
Provide only information needed for your request. Do not email or text full payment details, government ID images, Social Security numbers, or unrelated information about household members. Where proof of occupancy is requested, redact unrelated financial details and other residents' information when possible.
2. Location and service-area checks
We use the address you provide to assess delivery coverage and access. The production service policy is up to 40 geographic miles for standard-area review and over 40 through 50 miles for additional manual approval. We do not continuously track your device location as part of this service. A ZIP result is only an estimate.
We use Google Maps Platform Address Validation to check and standardize the service address you provide, including apartment/unit information, and obtain coordinates for service-area review. Google receives the street, unit, city, state and ZIP needed for this check. Zippopotam.us receives preliminary ZIP lookups; the U.S. Census geocoder may be used for legacy or manual location checks. We do not intentionally include your name, email, phone, payment details or rental narrative in these queries. Google handles information under its Privacy Policy. We temporarily cache Google address-validation details and coordinates for up to 29 days, with scheduled deletion; we retain your submitted/confirmed address and SETWELL's review decisions as part of the rental record. An inconclusive result can be reviewed manually and does not itself decline your request.
3. How we use information
We use information to respond to enquiries, validate the service location and identity, review rental eligibility, sign and retain agreements, process payments/taxes, arrange delivery and pickup, repair or replace equipment, communicate about the rental, prevent fraud/abuse, maintain records, resolve disputes, and comply with legal obligations. We may use limited first-party events to identify broken steps and improve the rental process.
The standard program does not obtain traditional consumer credit reports. An automated result is not a guarantee of approval or proof of fraud. Contact us to request review of an unsuccessful identity or address check.
4. Identity verification and biometric information
When enabled, Stripe Identity provides the verification flow. Depending on the selected check, Stripe may collect identity-document images, a selfie, identifying details, and device/security data. A selfie comparison can involve facial-geometry/biometric processing. The provider's disclosure and any required consent appear before capture. See the separate SETWELL Identity Verification Notice and Stripe's applicable privacy information.
Our general rental records retain verification references, status, necessary decision evidence, and consent records rather than duplicate Stripe-held identity images. Authorized SETWELL reviewers may be able to inspect verification information in Stripe to resolve an issue. We therefore do not claim that SETWELL can never access the information. Routine exports of ID images, full ID numbers, biometric templates, or full dates of birth into general rental records are not part of the intended workflow.
Where biometric verification is offered, consent is separate from a rental request or payment agreement. Contact us about an available non-biometric/manual review path before submitting a selfie. Declining a particular method does not guarantee approval, but is not itself treated as fraud. Provider retention and SETWELL-directed deletion must be reviewed before live use; we do not promise that an external provider immediately deletes all information after a check.
For a separately requested manual review, SETWELL may collect a government ID front, its back when relevant, and specifically justified additional evidence through a short-lived private upload link. The collection screen explains the purpose and requests affirmative consent before upload. This manual process does not request selfies or biometric comparisons. Do not send ID photographs by email or text; cover ID numbers and unrelated details not needed for the review.
Manual ID images are held in an isolated private Supabase bucket, encrypted in transit and at rest. Access is restricted separately from ordinary customer records and delivery photos. Only explicitly authorized identity reviewers may preview them after recent authentication; views, requests and decisions are audited. SETWELL initially authorizes only its designated owner reviewer. Manual decisions remain separate from Stripe's actual result and do not themselves approve the rental or start billing.
Manual ID images are scheduled for removal from active storage no later than 30 days after a decision, with a maximum of 30 days for an abandoned review. Images may be removed sooner. Our routine encrypted recovery packages exclude these ID-image bytes; the non-image decision and access audit remains in restricted business records. Provider recovery systems may retain limited residual information under their own deletion policies. Stripe-controlled evidence follows Stripe's own retention/redaction process; this manual-image schedule does not promise deletion from Stripe. Contact our privacy address for correction, review or deletion requests.
5. Payments and providers
Stripe processes payment details through its payment interface. SETWELL's general application does not store full card numbers or card security codes. Stripe may handle data for its own legal, fraud-prevention, or service purposes under its privacy policy, as well as for SETWELL. A saved payment method and an authorization are not the same as a successful payment.
Our intended production providers include Cloudflare for website delivery/security, Supabase for application data/admin access/private storage, Stripe for payment and identity services, Resend for transactional email, Google Maps Platform for service-address validation and service-area location checks, and Google Workspace/Voice for business communications. Other properly engaged service providers, such as authorized delivery technicians or professional advisers, receive only information reasonably necessary for their work. A provider is not given customer information merely because it is named in a development document.
We may disclose information to meet a legal requirement, respond to valid legal process, protect people or property, investigate fraud/security incidents, obtain professional advice, or complete a lawful business transaction with appropriate safeguards. We do not publish customer addresses, identity documents, or interior installation photographs as marketing material without separate permission.
6. Cookies, browser storage, and advertising
The site may use essential cookies and browser storage for session continuity, form recovery, security, and authorized access. In a demo, the session cookie ties sample customer/admin activity to the same browser. Clearing storage can remove an unfinished form or session. Essential hosting/security systems may process technical data.
The intended launch configuration does not sell personal information or use cross-site targeted-advertising pixels. Marketing lists and nonessential tracking are not switched on simply by accepting a rental agreement. If those practices change, we will update this policy and provide required notices and choices before the new processing. Browser/device controls may limit cookies; some essential functions may then fail. Any enabled analytics must match this notice and avoid transmitting sensitive form contents or secure-link tokens.
7. Retention and deletion
We keep personal information only as reasonably needed for the stated purpose, rental administration, accounting/tax requirements, dispute resolution, security, or another lawful obligation. Retention differs by category: records establishing an executed contract/payment may need to outlast a failed request, while identity images and biometric information require narrower treatment. We do not apply an undifferentiated financial-record retention period to all sensitive information.
When data is no longer needed, we delete, redact, or deidentify it under the approved retention schedule. Provider-controlled records, legal holds, unresolved disputes, and rolling backups may affect timing. A privacy deletion request does not require destruction of information legally needed to complete an active contract, process a refund, or retain tax records. Access to retained records remains restricted.
8. Requests and choices
You may ask to access, correct, obtain a copy of, or delete your information; ask questions about use/sharing; withdraw an optional consent; or request review of a verification decision. Use contact@setwellappliances.com with "Privacy request," or the published website privacy-request form once available. No new account is required. Do not submit an ID image with the initial request. We will verify requests proportionately and request only additional information reasonably needed.
Where applicable law gives a right to opt out of sale, targeted advertising, or qualifying profiling, we honor that right. The intended launch configuration does not engage in sale or cross-site targeted advertising. Applicable opt-out signals must be respected where required when relevant processing is enabled. Exercising a privacy right does not itself lead to retaliation.
We aim to respond within 45 days. If applicable law permits an extension and one is necessary, we explain it within the original period. When we cannot fulfill a request, we explain the reason and available appeal. To appeal, email contact@setwellappliances.com with "Privacy appeal." We aim to provide an appeal result within 60 days and will supply information on a complaint to the Texas Attorney General if an appeal is denied. Statutory rights and deadlines control when they differ from this policy. Certain rights depend on legal applicability, including the relevant small-business rules; this notice does not claim every statute applies identically to SETWELL.
Marketing choices do not prevent necessary contractual communications through an available permitted channel. An SMS opt-out is not a rental cancellation. A privacy deletion request is not a recurring-payment revocation; the relevant service/payment process remains available.
9. Security, children, and changes
We use reasonable safeguards appropriate to the information and service, with access limited by role and operational need. No system is perfectly secure. Never share a private customer link or account credentials publicly. We address security incidents and provide notices as required by applicable law.
Rentals are offered to adults 18 and over. Our site is not directed to children under 13, and we do not knowingly collect their information as customers. Tell us if a child has submitted personal information so we can review and take appropriate action.
We may update this policy and its effective date. Material changes will receive appropriate notice; a policy change does not by itself provide missing consent or authorize a new payment. Provider links and disclosures must remain accessible at the relevant collection point.
Privacy contact: contact@setwellappliances.com. Business: Ademis Technologies LLC d/b/a Setwell Appliances.
Publication control: Confirm actual providers, analytics, request channels, sensitive-data retention, and deletion workflows before publishing. This approved copy describes the intended production service, not an already activated system.
Operational records and confirmations
We retain delivery, installation, service and pickup photographs, appliance identification and condition records, historical equipment assignments, and cancellation notice records to operate rentals and resolve service or billing questions. These records are privately stored with access limited to authorized purposes. Interior photographs are operational evidence, not marketing permission. We automatically send transactional confirmations for important rental and support actions. Retention periods and access procedures must be finalized before this draft is published.
